The Associate Executive Director is the second-in-command of the community and the Executive Director’s designated deputy for the entire building. The AED provides leadership support across all departments, acts with the Executive Director’s delegated authority when the Executive Director is out of the building or otherwise engaged, and serves as the community’s leadership continuity and succession bench. Every member of the Glen Park leadership team carries census-development responsibility: the AED is expected to actively bring business to the community through their own professional relationships and referral resources.
The Administrator must hold a valid California RCFE Administrator Certificate and meet all continuing education requirements as mandated by the State of California.
Duties and Responsibilities:
  1. Support the Executive Director in operating the community in accordance with Title 17, Title 22, the Glen Park Standards of Excellence (GPSE), and all regulatory standards.
  2. Serve as the senior leader on site in the Executive Director’s absence, with delegated authority over day-to-day operations, staffing decisions, and resident and family matters, and represent the Company in dealings with Licensing in the absence of the Executive Director.
  3. Coordinate daily operations across all departments — care/wellness, medication room, dietary, housekeeping, maintenance, activities, and front office — ensuring adherence to SOPs and daily operational checklists.
  4. Participate in the weekly medication room audit rotation and daily medication room inspections in partnership with the Quality Assurance department.
  5. Support staff accountability: assist with performance management follow-through, ensure corrective actions and required trainings are completed on schedule, and reinforce department-head ownership of team standards, including meal and rest break compliance.
  6. Support incident management: ensure Unusual Incident Reports (UIRs/LIC 624) are prepared accurately and submitted within required timeframes, and that same-day tracker logging of licensing interactions is maintained.
  7. Maintain continuous inspection readiness, including personnel record production readiness and physical plant standards, and participate in CCLD visits, walkthroughs, and follow-up.
  8. Carry an individual KPI scorecard that rolls up to the Executive Director’s community scorecard, and answer by name for the metrics assigned to this role.
  9. Share the leadership on-call rotation with the Executive Director for after-hours emergencies.
  10. Champion census development in partnership with the Executive Director, including supporting tours, referral relationships, and move-in readiness.
  11. Develop and maintain a minimum of five (5) active professional referral resources (hospitals, physicians, discharge planners, rehabilitation centers, community organizations, or placement agencies) that generate leads for the community, with referral activity logged in the CRM.
  12. Assist in planning and executing outreach and in-reach events that inform the local community about the community’s services, in partnership with the Executive Director and the sales team.
  13. Ensure all rooms are move-in ready in advance of each scheduled move-in, and communicate and follow up with the Maintenance department on work orders through completion.
  14. Conduct weekly zone checks of the community. The building is divided into inspection zones between the Executive Director and the Associate Executive Director for walking coverage only — findings from all zones are logged in a single zone-check log, and accountability for the whole building remains with the Executive Director. Zone division splits the labor of inspection, never the accountability for the community.
  15. Complete training on, and consistently use, all Company accountability tools — including the Master Tracker, the ED KPI Scorecard monthly inputs, the KPI Tracker, the UIR log, the grievance log, the medication room audit log, the zone-check log, and the CRM — within thirty (30) days of assuming the role. Use of these tools is a required condition of the role, not optional.
  16. Performs other related duties as assigned by the Executive Director.
Minimum Qualifications:
  1. Current RCFE Administrator Certification, OR ability to obtain RCFE Administrator Certification within six (6) months of hire as a condition of continued employment in the role.
  2. Completion of at least 60 college units or equivalent experience.
  3. A minimum of three (3) years of progressive leadership experience in an RCFE, assisted living, or comparable senior care setting.
  4. At least one year’s experience working with individuals with developmental disabilities or memory impairment preferred.
  5. Equivalent education and experience as approved by the licensing agency.
  6. Able to pass a physical exam and criminal record review.
  7. Current training in Basic First Aid and CPR.
Physical Requirements:
  1. Prolonged periods sitting at a desk and working on a computer, combined with regular walking rounds of an approximately 80,000 square foot community.
  2. Must be able to lift up to 15 pounds at times.
Special Skills Needed to Perform the Job:
  1. Strong supervisory and leadership skills with the ability to lead the community independently in the Executive Director’s absence.
  2. Excellent verbal and written communication skills.
  3. Ability to establish and maintain working relationships with government agencies, community leaders, referral partners, and the general public.
  4. Excellent organizational skills and attention to detail, including regulatory documentation standards.
  5. Strong analytical and problem-solving skills.
  6. Ability to function well in a high-paced and, at times, stressful environment.
  7. Proficient with Microsoft Office Suite or related software.
  8. Demonstrated desire to grow into an Executive Director role within the organization.
