The AP Subject Coordinator oversees all operational aspects of AP subject readings, ensuring seamless execution from planning through post-production. This role involves coordinating logistics, managing reader support, and maintaining accurate records in Rater Management (RM) and related systems. The position requires strong organizational skills, attention to detail, and the ability to resolve complex inquiries promptly. This position requires extended travel for 2 weeks.

PRIMARY RESPONSIBILITIES

End-to-End Annual Planning and Process Improvements

• Supports execution against the product work plan objectives for assigned product
• Serves on internal Scrum Team working on process improvements for each cycle
• Participates in Department level meetings and suggests changes to enhance Reader Satisfaction
• Customer Service SME (email and Five9 phone system) for responsible AP Subjects
• Ability to travel for up to 3 weeks to manage scoring sessions based on business needs

Scheduling Subject Matter Expert

• Monitors multiple AP subject's Reader pools works with the Chief Reader of each subject to manage invitations, including promotions, cancellations, and no-shows at the AP Reading
• Performs scheduling tasks in Rater Management (RM) and the Online Network for Evaluation (ONE) for the supported subjects
• Executes against SLA's and KPI's under the guidance of Product Operations Manager

Financial Management and reporting

• Processes Travel vouchers for their supported subject's Readers following the Reading
• Accurately monitors and approves hourly time submission for supported AP Subjects
• Actively tracks supported subject's progress and Reader analytics to suggest ideas to ensure a 7- day completion for that subject
• Adheres to ethical standards and comply with the laws and regulations applicable to the job function
• Monitor the scoring activities on weekends, evenings and holidays outside of normal business hours depending on business needs

Required Experience:

KNOWLEDGE / SKILLS

• Ability to work effectively as a team member within a cross-functional team
• Strong technical background, familiarity with SmartSheets, RM and ONE is a benefit
• Ability to handle complex inquiries and resolve issues promptly.
• Excellent communication and interpersonal skills.
• Experience in event coordination or academic operations preferred.

EDUCATION AND EXPERIENCE

• A Bachelor's degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired is necessary.
• 2+ years of experience in administrative or project management support.
• Flexibility Required: 40 hours per week scheduled, with an increase to 40+ hours during peak seasons. Weekend /Extended Hours. 15% Travel is required.

• The base salary range advertised represents the low and high end of the anticipated salary range for this position. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. The base pay is only one aspect of the Total Rewards Package that will be offered to the successful candidate.
